We are seeking for

We are looking for a motivated Operations Assistant (gn*) to join our Executive Education Operations Hub and support the Program Management team. 
This is a full‑time position (40 hours/week), initially limited to two years, with the clear intention of long‑term employment. 
In this role, you will provide hands‑on operational and administrative support that ensures the smooth delivery of our programs and a high‑quality participant experience.

Your Responsibilities

  • Coordinate the operational delivery of executive education programs, including event planning, participant management, scheduling, and on-site support during program delivery, including MBA weekend sessions (typically once per month) with time-off compensation provided.
  • Organize and manage program logistics, such as room bookings, catering, travel arrangements, and other operational requirements to ensure a seamless participant experience.
  • Handle administrative processes, including invoicing, contract coordination with external partners, and internal documentation.
  • Maintain and update program-related systems and data (e.g., CRM, learning platforms, project tools), ensuring accuracy and efficient program operations.
  • Collaborate closely with Program Management,Faculty, Marketing, Accounting, andotherstakeholderto prepare program materials, support website updates, and ensure the smooth execution of all program-related activities.

Your qualifications

Must-haves 
  • You have completeda commercial/ vocational training (e.g., office management, business administration)
    or hold a university degree combined with relevant practical experience.
  • You demonstrate strong organizational skills and work in a structured, detailoriented, and reliable way.
  • You bring a handson mindset and enjoy coordinating operational and administrative tasks in a serviceoriented environment.
Nice to have 
  • You have gained initial experience in operations, administration, event coordination, or project support.
  • You are familiar with working across different functions and stakeholders and have been exposed to data management orprocessdocumentation.
  • You are confident using MS Office; experience with CRM systems, project tools, or digital learning platforms is an advantage.
  • You communicate confidently in English and German, both written and spoken, and ideally have experience in an international or academic environment.
